Privacy Policy

  

This Privacy Policy describes how I collect, use, store, and protect information when you engage with my coaching and herbal education services. My practices are guided by the National Board for Health & Wellness Coaching (NBHWC) Code of Ethics, principles of confidentiality, and applicable federal and state privacy laws, including those relevant to clients residing in Texas and Arkansas.


1. Information I Collect

I may collect the following types of information when you visit my website, subscribe to communications, or engage in coaching or educational services:

Personal Information Provided by You

  • Name, email address, phone number, mailing address 
  • Intake information voluntarily shared for coaching purposes 
  • Scheduling and communication preferences 
  • Payment information processed through secure third-party payment processors 
  • Optional wellness goals, lifestyle information, or experiences you choose to share in sessions 

Automatically Collected Information

  • Website analytics data (e.g., cookies, IP address, browser type) 
  • Preferences for newsletters or online resources 

I do not require or store medical diagnoses, medical histories, or other protected health information unless you voluntarily choose to share such information in the context of coaching.


2. How Your Information Is Used

In alignment with NBHWC ethics, I use your information solely to:

  • Provide coaching services 
  • Personalize sessions according to your goals and preferences 
  • Deliver newsletters, blogs, and educational content (with your consent) 
  • Manage scheduling, communication, and billing 
  • Improve website and service functionality 
  • Maintain records required for ethical and professional practice 

I do not sell or share personal information for marketing by third parties.


3. Confidentiality in Coaching

I follow the confidentiality standards of the NBHWC Code of Ethics, which means client information shared in coaching sessions is treated as confidential and is not disclosed without your consent, except under specific legally and ethically required circumstances.

Confidentiality Does Not Apply in the Following Circumstances:

I may be required to disclose information if:

  1. You express intent to harm yourself or others 
  2. There is suspected abuse or neglect of a child, elder, or vulnerable adult 

  • Mandatory reporting laws apply in both Texas and Arkansas 

  1. I receive a lawful court order, subpoena, or similar legal request 
  2. Information must be disclosed to protect public safety 
  3. You provide written permission for information to be shared 

Whenever possible, I will inform you before any required disclosure is made.


4. HIPAA Considerations

I strive to protect all client information with safeguards consistent with HIPAA principles.

However, under federal law, coaches and herbalists are not automatically considered HIPAA-covered entitiesunless they engage in activities—such as electronic insurance billing—that fall under HIPAA regulations.

Regardless, I maintain strict confidentiality, secure storage, and privacy protections that reflect the spirit of HIPAA compliance.

If HIPAA ever becomes applicable to my services, this policy will be updated accordingly.


5. Data Storage and Security

I use secure, password-protected systems to store client information. Measures include:

  • Encrypted communication when available 
  • Secure scheduling platforms 
  • Encrypted third-party processors for payments 
  • Limited access to client files 
  • Regular review of security practices 

No system can be guaranteed completely secure, but reasonable administrative, technical, and physical safeguards are maintained.


6. Your Rights

You have the right to:

  • Request access to your client records 
  • Ask for corrections to your information 
  • Withdraw consent for newsletters or marketing at any time 
  • Request that your data be deleted (unless retention is required for ethical or legal records-keeping) 
  • Ask questions at any time about how your information is used 

7. Coaching Scope of Practice

In alignment with NBHWC standards:

  • I do not diagnose, treat, or prescribe for medical conditions. 
  • I provide educational information only and encourage you to consult with licensed medical professionals for medical or mental health concerns. 
  • Herbal content is educational and not a replacement for individualized medical care. 

This protection of scope helps safeguard your privacy as well.

8. Third-Party Services

I may use reputable third-party tools for:

  • Email delivery 
  • Scheduling 
  • Payment processing 
  • Website analytics 

Each third-party service has its own privacy policy, and I encourage you to review them as needed.

9. Updates to This Policy

This Privacy Policy may be updated periodically. Significant changes will be posted here with a new effective date.
